Open WebUI Knowledge Base Configuration Guide

Once you have selected your embedding model (see Understanding Embeddings for the “Why”), use these settings to ensure your documents are indexed and retrieved accurately.

This guide covers the settings found in Settings →\rightarrow Documents.

1. Indexing Settings

Controls how files are processed during upload or “Re-index.”

SettingRecommendedDescription
Embedding Batch Size32Chunks sent to the model at once. Balance speed vs. VRAM.
Concurrent Requests1Parallel requests to Ollama. Keep low on single-GPU systems to avoid OOM.

2. Retrieval (RAG) Settings

Determines how the system finds information to answer your prompt.

The Core Balance

3. Reranking (Optional)

A “second pass” filter to sort the Top K results.

SettingRecommendedNote
Reranking ModelNoneUse only if you have spare VRAM. Otherwise, it slows down retrieval.
Top K Reranker3 - 5Final number of chunks passed to the LLM if reranking is on.
Relevance Threshold0.1 - 0.5Filters out low-match documents. See “The Threshold Trap” below.

⚠️ The Threshold Trap

The Relevance Threshold is the most common cause of “silent failures” (system works, but returns no sources).

The Model Size Problem: Smaller embedding models often produce lower raw similarity scores than giant 8B+ models, even if they found the correct document.

Recommendation: If your chat isn’t finding sources, lower this value to 0.1 or 0. If results appear, gradually increase it.

⚠️ Critical Maintenance: The Dimension Mismatch

Because embedding dimensions are locked upon collection creation (see Understanding Dimensions), switching models will cause a Dimension Mismatch error.

The Fix:

  1. Go to Workspace →\rightarrow Knowledge.

  2. Delete the existing knowledge base.

  3. Create a new knowledge base and re-upload your files.

  4. This forces the database to create a new collection with the correct dimensions.
